Responsibilities
Calendar Management: Organizing and managing the Director’s diary, including setting up appointments, meetings, and conferences
Communication Handling: Screening and handling phone calls, emails, and correspondences for the director
Documentation and Filing: Maintaining and organizing important documents, records, and files related to the Director’s Office
Meeting Coordination: Scheduling meetings, preparing agendas, taking minutes, and following up on action items from meetings
Travel Arrangements: Making travel arrangements for the Director, including booking flights, hotels, transportation, and preparing travel itineraries
Correspondence: Drafting and preparing various forms of correspondence such as letters, memos, reports, and presentations
HR Support: Providing support to the HR department by assisting with recruitment processes, onboarding new employees, and maintaining employee records
Administrative Support: Assisting with general administrative tasks such as office supplies management, invoice processing, and other day-to-day administrative duties
Confidentiality: Maintaining confidentiality of sensitive information and exercising discretion in handling confidential matters
Reports: Compiling data and preparing reports on various HR and administrative issues as needed by the Director
Any other duties as assigned by the Director.
Qualifications
- 5 O’ Levels including English and Math’s/Accounts
- 2 A ‘Levels or Equivalent
- Diploma in Secretarial
- Degree in Social Sciences or Human Resources related is an added advantage.
Experience
- At least 2 years related experience in a similar environment.
