The role is responsible for supporting the Planner Garage/planning team in gathering fleet data, document preparation, managing schedules, coordinating with stakeholders, and performing administrative tasks to facilitate the overall planning process.
The position will report to the Planner – Garage.
Key Accountabilities
- Open job cards for all vehicles inducted into the garage recording to such information as date brought, type of work required, cost center, etc., for record purposes. Conduct inventory on the vehicles before and after maintenance.
- Prepare vehicle maintenance history cards showing the frequency of repairs, spares fitted, duration of repairs and maintenance etc., for future reference.
- Prepare and submit costing data in respect of completed vehicle maintenance jobs to the Garage Planner for costing purposes.
- Prepare weekly manhours and overtime summaries, indicating total time worked by maintenance personnel to facilitate cost control priorities.
- Prepare and track maintenance records, assisting with ensuring all approvals have been obtained on requests for external services, and provide clerical support for the Garage Planner.
- Carry out electrical activities most efficiently and effectively to ensure that the same is performed right the first time.
- Undertake any other jobs that may be added from time to time in compliance with the company program of multiskilling.
- Undertake and complete given assignments within the allocated time frame to avoid unnecessary overtime.
To be successful in this role, you will be required to have:
- Grade 12 School Certificate.
- An advanced certificate in a business field or a Craft certificate in automotive mechanics would be an added advantage.
- Minimum 2 years experience as a Clerk.
- At least 1 year’s practical experience gained in a similar maintenance workshop role.
- Knowledge of filing systems and computer literate with MS Excel and MS Word hands-on experience.
