Reports To: Project Administrative Officer
Duty Station: Fort portal (1), and Jinja or Kamuli (1), with frequent travel to project districts.
Employment Type: Full-time
Contract Duration: Annual, renewable
Working Hours: 40 hours per week (Monday to Friday), with flexibility as required
Position Purpose
The Office Attendant will ensure a clean, safe, well-organized, and welcoming office environment that enables the project team to work efficiently and professionally. This role is fundamental to daily operations, supporting staff productivity, maintaining hygiene standards, and upholding BAMA Foundation’s professional image to staff, visitors, and partners.
Key Duties and Responsibilities
a) Office Cleanliness, Hygiene, and Maintenance
· Perform daily and thorough cleaning of all office spaces, including workstations, meeting rooms, corridors, washrooms, and kitchen areas, ensuring high standards of hygiene are maintained at all times.
· Properly manage waste through collection, segregation (general, recyclable), and disposal in accordance with organizational and local guidelines, with special attention to infection prevention standards.
· Ensure office furniture, windows, floors, and fixtures are clean and well-maintained. Report any maintenance needs (e.g., leaks, broken furniture) promptly.
b) Meeting Support and Hospitality
· Prepare and serve tea, coffee, water, and light refreshments for staff and visitors in a timely and courteous manner.
· Set up and arrange meeting rooms before workshops, trainings, or meetings, ensuring they are equipped with necessary materials (water, notebooks) and tidied up afterwards.
· Assist with basic preparation for office events or visits.
c) Supplies Management and Inventory Support
· Monitor stock levels of cleaning materials, kitchen supplies, and hygiene consumables
· Report supply needs to the supervisor promptly to avoid shortages.
· Support the safe storage and organized use of cleaning equipment and materials.
d) Health, Safety, and Professional Conduct
· Adhere strictly to workplace health and safety procedures, including the safe use of cleaning chemicals and equipment.
· Maintain strict confidentiality regarding all office discussions and documents encountered during duties.
· Uphold a professional, respectful, and courteous demeanor when interacting with all staff and visitors.
· Comply fully with BAMA Foundation’s Safeguarding Policy, Code of Conduct, and values.
e) Other Duties
· Perform any other related duties as assigned by the supervisor to support office operations.
Required Qualifications and Experience
· Minimum of Primary Leaving Examination (PLE) certificate or equivalent.
· At least 1 year of proven experience in a similar role (office attendant, cleaner, or support staff). Experience in an office, NGO, school, or healthcare setting is a strong advantage.
· Basic training in cleaning, hygiene, or hospitality is highly desirable.
Key Skills and Competencies
· Ability to perform cleaning tasks thoroughly and maintain consistent standards.
· Able to work with minimal direct supervision, manage time effectively, and be proactive in identifying needs.
· Possess basic verbal communication skills and the ability to understand and follow instructions.
· Physically capable of performing cleaning duties, including standing for periods, bending, and lifting moderate loads.
