Job Purpose:
The position holder will provide support to the Stores & Logistics Associate by ensuring that
the Unit’s supplies at the field station are accurately received, correctly stored, and issued to
users or dispatched to other field stations in a timely and efficient manner, in line with
approved Unit Standard Operating Procedures (SOPs).
Roles & Responsibilities
1. Principal duties;
• To receive, inspect, and record incoming goods in line with procedures
• Perform goods receipting and put-away in ERP;
• Properly shelve, label, and organize items; manage internal movements within the store;
• Track expiry dates and report on shelf life;
• Unload fuel deliveries and ensure safe handling during receipt;
• Conduct regular physical inventory checks, update inventory records (stock cards, or
software systems), and report discrepancies, damages, or shortages;
• Perform daily dipping of fuel storage tanks to monitor levels and reconcile usage;
• Execute inventory picks, issue supplies to users, and ensure all collected project pickups
are posted in the ERP;
• Review, verify, and reconcile inbound/outbound shipping document;
• Repackage outbound supplies, prepare dispatch notes, and initiate transfer orders in ERP;
• Maintain a clean, organized warehouse compliant with health and safety standards;
• Dispense fuel to motor vehicles and motorcycles in line with approved requests;
• Generate monthly purchase order fulfilment reports and collaborate with Procurement on
follow-up;
• Prepare and submit monthly reports on stock utilization and balances;
• Addressing user queries regarding stock status, availability, and shelf life;
• Identify operational needs, initiate purchase requisitions, and monitor stock levels in line
with replenishment policy;
• Safeguard documentation and scanned copies of imports, fuel, and other critical records;
• Provide general support to the Stores & Logistics Associate in daily operations; and,
• Perform any other duties assigned by the line manager.
Person Specification
• Bachelor’s Degree in Procurement and Supply Chain Management or related field;
• Should have membership of a professional Body E.g. CIPS at any level.
• Should possess 6 months;
• Experience working with MS Office programs, office equipment (printer, copier,
scanner);
• Working knowledge of MS Dynamics 365 Business Central or any ERP;
• Stores and Logistics management and ability to work with minimum supervision;
