Primary Tasks and Responsibilities
1. Act as the primary contact for employees’ HR-related queries, offering guidance and support for day-to-day workplace matters, ensuring a responsive and supportive HR service.
2. Assist in the recruitment process, from drafting job advertisements, shortlisting, preparation of files, providing secretarial services during interviews, sending out interview invitations and regret communication and onboarding of new employees in line with Commission policies.
3. Support the preparation and processing of payroll by accurately capturing, verifying, and updating employee data; including new hires, exits, salary adjustments, allowances, deductions, and statutory changes.
4. Input, update, and maintain comprehensive staff data in the Human Resource Information System (HRIS), including employee bio data, appointments, transfers, promotions, leave records, performance data, and exits, ensuring accuracy, completeness, and timely updates, and conducting regular data audits to support HR operations, reporting, and compliance requirements.
5. Maintain and manage personnel files to ensure they are updated and complete with all the required documentation while ensuring confidentiality and compliance with the data protection guidelines.
6. Coordinate and manage the implementation of UCC’s leave policies and procedures, including tracking leave balances, supporting leave documentation, and analysing system utilization to ensure fair and consistent leave management.
7. Assist in coordinating staff welfare programs, including medical insurance and health and safety initiatives, staff gifts, weddings, bereavement, and birthdays, ensuring timely and efficient processing and administration.
8. Conduct various HR operational and administrative tasks, including the issuance of staff identity cards, business cards, and staff uniforms and drafting salary loan insurance letters, taking.
9. Maintain flexibility to accommodate any other duties that may be assigned by the supervisor from time to time.
Education and Professional Qualifications
Bachelor’s degree in Human Resource Management, Industrial Psychology, or Organisational Development.
