Job description

The Stock Controller is responsible for managing and maintaining inventory levels of medical supplies, pharmaceuticals, equipment, and other materials within the hospital. This role ensures that the hospital operates efficiently by preventing stockouts and overstock situations, thereby improving cashflow and supporting the smooth delivery of patient care. This role reports to the supply Chain Manager. 

Key Responsibilities: 

Inventory Management: 

  • Maintain accurate inventory records using hospital inventory management software
  • Responsible for demand planning and material replenishment for all consumables. i.e. Diagnostics, Medical consumables and non-medical consumables. 
  • Conduct regular stock audits and physical counts to reconcile inventory records. 
  • Monitor inventory levels and reorder supplies as needed to maintain optimal stock levels. 
  • Manages the Store officers.

Procurement: 

  • Coordinate with Senior procurement Officers to determine order quantities for medical supplies, pharmaceuticals, and equipment purchases. 
  • Manage the Supply Chain Centre of Excellence ensuring all KPIs, and Risk Control processes are achieved. 
  • Track and manage purchase orders and communication with vendors to ensure timely delivery of supplies. 

Receiving and Storage: 

  • Receive and inspect incoming shipments of supplies and equipment. 
  • Ensure proper storage of items according to hospital protocols and regulatory requirements. 
  • Organize stock rooms and storage areas for efficient access and retrieval of items. 
  • Ensure all the Quality and Safety processes are complied with at all times at the stores. 

Distribution: 

  • Distribute supplies and equipment to various hospital departments as required. 
  • Monitor usage patterns and ensure critical supplies are always available. 
  • Address any issues related to stock shortages or surpluses promptly.
  • Coordinate and manages stock variance explanation and reconciliations. 

Compliance and Documentation: 

  • Maintain compliance with hospital policies, procedures, and regulatory requirements. 
  • Prepare and maintain accurate documentation related to inventory transactions, including receipts, issues, returns, and adjustments. 
  • Ensure proper labelling and tracking of all items to facilitate traceability. 

Communication: 

  • Collaborate with hospital staff, including nursing, medical, and administrative teams, to understand their inventory needs. 
  • Provide timely updates on stock levels and any potential supply issues. 
  • Train and guide staff on inventory management practices and procedures. 

Qualifications: 

Education:

A degree or certification in supply chain management, logistics, or a related field is preferred. 

Experience:

 Minimum of 5 years’ experience in inventory management, preferably in a healthcare setting. 

Skills:

  • Strong organizational and time management skills. 
  • Proven experience as a storekeeper, inventory clerk, or similar role, preferably in a healthcare or pharmaceutical setting. 
  • Knowledge of inventory management principles, stock control procedures, and regulatory requirements for handling pharmaceuticals and medical supplies. 
  • Familiarity with electronic inventory management systems, barcode scanning technology, and computerized record-keeping software. 
  • Strong attention to detail, organizational skills, and accuracy in data entry and record-keeping. 
  • Excellent communication skills, teamwork abilities, and customer service orientation. 
  • Ability to work independently with minimal supervision and prioritize tasks in a fast-paced environment.
