The Danish Refugee Council (DRC) is a humanitarian, non-governmental, non-profit organisation founded in 1956 that works in more than 30 countries throughout the world.

Overall purpose of the role:

Ensure that DRC is compliant with country and regional grant management guidelines and DRC’s operational requirements (including finance, logistics, procurement, and human resources).

Duties & Responsibilities:

  • Grants management and Donor compliance
  • Assess and build the country office’s capacities to manage sub-grants
  • Keep up to date on due diligence, partner reporting, ICR approvals and partner installments
  • Provide monthly updates on partner reporting and installments
  • Lead on partner due diligence – and ensure this is up-to-date
  • Prepare and present donor compliance guidelines at kick-off meetings and provide ongoing support to partners in adhering to donor guidelines during grant meetings.
  • Provide training on compliance with donors’ regulations and requirements to partners
  • Support partners to ensure operational compliance of grants with guidelines and donor regulations in finance, logistics, procurement, and human resources.
  • Coordinate sub-grant kick off and closing meetings for all sub-grants in the country office
  • Maintain and manage information on the sub grants module and maintain all documentation related to sub-grant management on share point

Program Management and Support:

  • Participate in periodic budget reviews for all ongoing projects with partners.
  • Support civil society partners in adjusting spending plans Monitor and maintain a consolidated tracker of disbursements to partners, reporting and cash forecasts
  • Review project reports sent by partners
  • Ensure the development and record maintenance relating to Sub Grant Agreements, Partnership Memoranda, Terms of Reference, and associated documentation.
  • Ensure the development of guidance, standard templates, and toolkits to ensure timely submission of partner narrative and financial reports.
  • Organize learning events for partners to share experiences and learn from each other
  • Ensure the cascade of knowledge to area offices staff on partnership administrative processes.

Other

  • Liaise with finance colleagues on budget follow up and expenditure levels of running grants
  • Conduct or facilitate Capacity Development programs for partners, including but not limited to on log frames, proposal development, and/ or reporting
  • Inductions of new colleagues
  • Any other tasks as identified by the Partnerships Manager
  • As Specialist the post-holder is responsible for providing specialized knowledge and operational know-how within a specific discipline

Requirements

Experience and technical competencies: 

  • At least 3 years of grants management experience with an international NGO.
  • Knowledge of donor rules, regulations, and procedures of donors including US and European donors, EU funding mechanisms, and UN agencies.
  • Proven experience in successfully applying for institutional donor funding.
  • Proven experience in capacity building and training of national staff and partners.
  • Ability to follow multiple workflows with attention to detail.
  • Excellent written and oral communication skills with external and internal stakeholders.
  • Full professional proficiency in English Excellent interpersonal skills and demonstrated ability to establish effective and working relations with local partners and other stakeholders

Education

  • Bachelor’s degree (Masters preferred) in international relations, project management, business administration, or similar studies relevant to the post
  • Language:
  • Proficiency in English required; while other regional languages are beneficial.
