Job description

Working under the direct supervision of the RRF Programme Officer in Maiduguri, the successful candidate’s primary role will be to provide administrative and general office programme support for the implementation of the Rapid Response Fund Porgramme in Nigeria.

Responsibilities

  1. Assist in updating the grant tracking matrix and preparation of consumption reports.
  2. Maintain and update project databases and filing systems to ensure efficient access to information.
  3. Track partners’ payment requests and provide timely follow-ups to sub-grantees and stakeholders.
  4. Support logistics for partners engagements, workshops, and events, ensuring all materials and resources are prepared in advance.
  5. Support financial processes by assisting with budget tracking, invoice processing, and expense reporting.
  6. Collaborate with team members to streamline administrative procedures and improve operational efficiency.
  7. Assist in proper documentation and filling of the administrative and financial documents on the SharePoint project.
  8. Assist following-up activities on coordination, planning and implementation of field missions, training, meetings, etc.
  9. Support the preparation of travel authorizations, security clearances, etc.
  10. Support drafting notes for files (NFF), memos, meeting reports, partner letters, and other external letters.
  11. Support maintaining an inventory database, maintain a tracking system for all procurement and logistics requests.
  12. Exercise personal integrity and transparency in reviewing and vetting payment requests and bring up any observed issues that need the attention of the PM, and where needed, guide staff on payment and travel matters and keep them informed.
  13. Perform any other duties that might be assigned.

Qualifications

  • Diploma / University degree in public and business administration, human resources management or other related fields with one year of related professional experience, or
  • High School diploma with three years of related professional experience

Excellent attention to detail and ability to collect statistical information accurately and maintain recordsGood communication skills and proven ability to work in a teamHigh level of computer literacy (Word, Outlook, Excel, PowerPoint)Strong logistics skills related to the implementation of project activities.
