Under the leadership of the Head of Unit/Supervisor, the staff member will be responsible for coordinating and providing high quality, client-focused and value-for-money oriented administration services, mainly including Travel Management.
KEY ACCOUNTABILITIES (not all-inclusive)
- Act as a role model of the values, principles, and standards of WFP, actively contributing to creating an enabling, inclusive work environment through respectful and constructive communication and holding self and other team members accountable for their actions.
- Travel services management: Arrange bookings/tickets for all staff travel, within the country and internationally, ensuring that WFP procedures are regulations are followed and the liability to the organization is minimized to achieve cost efficiency.
- Ensuring clearance of invoices for the WFP contracted Travel agency are settled in a timely manner.
- Process TRIPS for staff efficiently.
- Provide training and guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients.
- Coordinate the activities of the team of staff working in the area of travel to ensure individual and team objectives are met in compliance with all relevant regulations, policies, and procedures, and performance plan.
- Verify resource requirements in the area of Travel and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
- Support the production of various data, analyze, compile and prepare travel reports (including travel plans) in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.
- Contribute to planning, monitoring and processing administrative actions related to procurement, finance, human resources, etc., including contracts with external vendors to ensure all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues addressed.
- Adapt and update administrative processes, supporting the implementation of operating procedures, in order to contribute to the continuous improvement of administration services.
STANDARD MINIMUM QUALIFICATIONS
Education:
Completion of secondary school education. A post-secondary certificate in the related functional area.
Experience:
Six (6) years or more of professional experience in a relevant field of work, preferably in Travel Management, with a background and interest in international humanitarian development.
Language:
Fluency (Level C) in English or French language (written and oral). Intermediate knowledge (level B) of a second official UN language: English/French. (Other WFP working language) would be an asset.
