To enhance our impact, we are seeking a highly motivated Administrative and Research
Assistant to support the Resource Mobilization and Grants Coordinator in administrative
functions while also assisting with donor research and grant-related tasks. The ideal candidate will
be well-organized, detail-oriented, and proactive in handling office operations and supporting
fundraising efforts.
Role Overview
The Administrative and Research Assistant will play a key role in ensuring smooth
administrative operations while also conducting research to support fundraising, grant writing, and
donor engagement. The successful candidate must be efficient in office management,
documentation, and data organization while assisting in research tasks related to resource
mobilization.
Key Roles and Responsibilities
Administrative Support:
• Provide logistical and administrative support for meetings, workshops, and fundraising
events.
• Maintain accurate records, filing systems, and documentation for grant applications and
donor communications.
• Assist in drafting correspondence, reports, and presentations for donor engagement.
• Support travel arrangements, scheduling, and office operations.
• Handle office management tasks, including procurement, inventory, and record-keeping.
Research & Grant Support:
• Assist in conducting research on potential donors, funding opportunities, and grant
requirements.
• Maintain an organized database of funding applications, donor profiles, and grant
documents.
• Support data collection and analysis for fundraising and donor engagement strategies.
• Assist in preparing donor reports, funding proposals, and concept notes.
Communication & Coordination:
• Facilitate communication between the Resource Mobilization and Grants Coordinator
and internal teams, donors, and partners.
• Assist in preparing and distributing fundraising materials, newsletters, and donor reports.
• Ensure timely responses to donor inquiries and funding-related communications.
Qualifications & Experience
We are looking for a proactive and detail-oriented individual with strong administrative skills
and the ability to support donor research and grant-related tasks.
• Education: Diploma or Bachelor’s degree in Business Administration, Development
Studies, Public Administration, or a related field.
• Experience: At least five (5) years of experience in administrative support, research,
fundraising, or grant-related roles for a Diploma holder and two (2) years of experience
in the same roles for a Bachelor`s degree holder.
• Technical Skills:
o Strong administrative and organizational skills.
o Excellent research and data management abilities.
o Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database
management.
o Experience with grant applications and donor research is an advantage.
• Interpersonal Skills:
o Strong time management and multitasking abilities.
o Ability to work independently and collaboratively in a fast-paced environment.
o Excellent verbal and written communication skills in English.
