Responsibilities
Calendar Management: Organising and managing the Director’s Diary, including scheduling meetings, conferences, appointments, and deadlines related to the Directors Office
Communication Handling: Screening and managing phone calls, emails, and other forms of communication on behalf of the Director and also ensuring timely responses and information flow
Documentation & Filing: Maintaining and organizing important documents, records, and files related to the Director’s Office
Meeting Coordination: Scheduling and coordinating all meeting on the Director’s calendar through preparing for the meetings, communicating agendas, taking minutes, and following up on action items
Expense Management: Managing expenses related to the Director’s office, such as processing invoices, tracking budgets, and ensuring compliance with financial policies and procedure
Travel Arrangements: Making travel arrangements for the Director through booking flights, accommodations, and transportation for business trips
Confidentiality: Maintaining the confidentiality of all information and documents in the Directors Office
Cross-functional Collaboration: Collaborating with other departments to ensure alignment and coordination of finance related issues
Any other duties as assigned by the Director.
Qualifications
- 5 O’ Levels including English and Maths/Accounts
- 2 A ‘Levels or Equivalent
- Diploma in Secretarial Studies
- Degree in Accounting/Finance or any related field is an added advantage.
Experience
- At least 2 years related experience in a similar environment.
