ADMINISTRATIVE OFFICER
Uganda Technology and Management University (UTAMU) is seeking an experienced and qualified individual to take up the role of Administrative Officer.
The successful candidate will play a pivotal role in coordinating the provision of Administrative and support services.
JOB PURPOSE: To Coordinate the provision of administrative and
support services.
LOCATION:
Kungu campus
DUTIES AND RESPONSIBILITIES:
- Coordinate and provide high-quality secretariat services to the University Council/Board, its Committees, and Management Committees.
- Prepare, compile, and manage agendas, minutes, resolutions, and official records of the University Council and Committees in accordance with University statutes and governance procedures.
- Ensure timely follow-up, tracking, and reporting on implementation of Council and Management resolutions.
- Maintain accurate, up-to-date, secure, and confidential University records in both electronic and hard copy formats, in compliance with data protection and record retention requirements.
- Maintain custody of MoUs, contracts, partnership agreements, accreditation documents, licenses, and regulatory approvals, ensuring accessibility and audit readiness.
- Support the University Secretary in initiating, reviewing, updating, and implementing University statutes, policies, procedures, and administrative guidelines.
- Interpret and guide implementation of Council-approved policies and administrative decisions across the University.
- Interprets, guides and coordinates implementation of Council administrative policies and related resolutions.
- Monitor implementation of human resource policies, including staff welfare, maintenance of staff records, benefits administration, and contract documentation, and advise the University Secretary accordingly.
- Drafts and circulates administrative pronouncements arising out of Council deliberations and resolutions.
- Undertakes any other official duties as assigned by the University Secretary.
EDUCATION AND QUALIFICATIONS:
- Bachelor of Laws (LLB) from a recognised University
- Postgraduate Diploma in Legal Practice or being an advocate of the high court should be an added advantage.
- Excellent computer skills, including knowledge of Microsoft Office and other relevant software applications.
EXPERIENCE:
- At least three (3) years working experience in an administrative role in a reputable organization.
- Should have high integrity with extensive leadership skills.
- Experience in managing an office and providing administrative support.
- Experience in drafting and reviewing correspondence, reports, and other
- Documents.
- Experience in liaising with internal and external stakeholders.
- Strong attention to detail
- Ability to work under pressure and meet deadlines
