The Billings and Collections Specialist is responsible for ensuring accurate and timely billing of services and products, as well as executing, managing and overseeing the collection of outstanding accounts. This role requires strong attention to detail, excellent communication skills, and the ability to work independently and as part of a team. You will work with an array of leading edge working tools, collaborating with a team of Finance professionals and an internationally distributed team of top African tech Talent.

What you will be doing

  • Billing and Contact Management:
    • Generate and send out invoices to clients on a regular basis.
    • Verify accuracy of billing data and correct any errors before sending out invoices.
    • Maintain up-to-date billing system and customer records.
      • Work closely with the various business units to ensure the client Contact onboarding into the billing system has been completed correctly.
    • Prepare and send monthly billing statements.
    • Resolve any billing discrepancies or issues in a timely manner.
  • Collections:
    • Monitor accounts to identify outstanding debts.
    • Follow up with clients on overdue accounts through calls, emails, and letters.
    • With the approval of the Chief Financial Officer, negotiate payment arrangements and set up payment plans if necessary.
    • Maintain records of all collection activities, payments received, and account statuses.
    • Report on collection activities and progress towards targets.
  • Customer Service:
    • Respond to customer inquiries and concerns related to billing and accounts.
    • Provide exceptional customer service and maintain positive client relationships.
    • Collaborate with other departments to resolve client issues.
  • Reporting:
    • Prepare regular reports on billing and collections activities.
    • Analyze accounts receivable data to identify trends and areas for improvement.
    • Assist in the preparation of financial statements by providing relevant information.

What you must have

  • Bachelor’s degree or similar in Accounting, Finance, Business Administration, or related field preferred.
  • At least 3 years proven experience in billing, accounts receivable, or collections.
  • Strong understanding of accounting principles and procedures.
  • Proficiency in accounting software (Xero or similar advantageous) and Sheets (Google Sheets / Microsoft Excel).
