POSITION: CLINICAL ADMINISTRATOR
REPORTS TO: HEALTH CENTRE MANAGER
DIRECTLY SUPERVISES: NURSES AND GENERAL SERVICE ASSISTANTS.
PURPOSE OF THE POSITION:
Reporting to the Health Centre Manager the job holder will be responsible for ensuring that administrative issues at the clinic are handled promptly by a customer friendly, knowledgeable and motivated team. He or she is also responsible for developing and maintaining quality nursing care as per nursing and AAR standards on routine Health Centre duties.
KEY PERFORMANCE AREAS:
· Nursing care.
· Counseling and Health education.
· SOP Adherence.
· Management reports.
· Corporate image.
· Supervision of all Nurses, General Service Assistants and Front Desk Officers.
· Staff orientation/ induction.
· Co-ordinate community events.
· Customer service.
· Patient Management.
· Reporting and Budgeting.
DUTIES INCLUDE:
· Supervise and participate in patient’s nursing care to ensure that patients are offered efficient and effective nursing care.
· Establish and maintain a look and feel at the Health Centre that is consistent with the AAR Health care corporate image.
· Ensure equipment, supplies and materials required for the smooth and efficient functioning of the clinic are in place.
· Allocate nurses duties.
· Attend to patients’ complaints.
· Coordinating monthly meetings.
· Prepare departmental monthly and end of year reports.
· Compilation of departmental duty rotas for review by the Health Centre Manager.
· Prepare the budget together with the Health Centre Manager.
· Handle all staff issues on behalf of the Health Centre Manager.
· Co-ordinate community events by the clinic aimed at creating health awareness and promote good corporate citizenship.
· Accurate documentation and storage of client data.
· Ensure that all Locum and Temporary invoices are compiled and dully filled before sharing them with the Health Centre Manager.
· Prepare and share monthly leave report in line with the Health Centre Manager’s approval.
· You will also carry out any other duties that may be assigned to you.
KEY PERFORMANCE MEASURES:
· 100% Nursing care.
· Timely reporting in line with the deadlines.
· Turnaround time (TAT) as per budget.
· Consistency in ensuring high standard of cleanliness at the clinic
· Co-ordination of community events by the clinic as per budget.
· Maintenance of a sign off document of orientation for the nurses and clinic staff.
· Ensure customer service issues are resolved immediately.
· Maintenance of a critical incident report book and sharing of contents with line manager daily.
· Maintain a record of all clinic equipment and update monthly.
· Maintain all clinic equipment in a good working condition by ensuring that maintenance and servicing is done as per schedule.
· Support the Health Centre Manager (HCM)with the management of the clinic in the HCM’s absence.
· Compile and share weekly/monthly reports that shall include but not be limited to the following: Private, DB visit reports, TCP, HMIS reports.
LEVEL OF EDUCATION & EXPERIENCE: (this position requires)
· Diploma in Nursing plus 3 years of appropriate experiences in nursing.
· Bachelor’s Degree in Nursing an added advantage.
· Clinical training would be preferred.
