The Head of Finance and Administration will be responsible for the overall oversight of Finance and Administration department. He/ She will support implementation of the necessary policies to strengthen systems for finance, procurement, fleet and estates management, among others. He/ She will directly supervise section leads, strengthen their capacity as well as provide day-to-day guidance, and mentorship to the team.
Key duties and Responsibilities
Administration
- Manage staff in the sections under the Finance and Administration department by setting work targets, monitoring day to day activities, and conducting regular appraisals.
- Coordinate activities of persons that give technical support to the AMBSO Finance and Administration Technical Functions.
- Support and supervise the procurement function as well as ensuring value for money.
- Manage and coordinate AMBSO’s contractual commitments (e.g. for the general services; including rental for vehicles/premises) and fully oversee AMBSO’s general estates.
- Oversee and support the management of AMBSO’s inventory and ensure adherence to the organization’s administrative best practices.
- Supervise and regulate the use and maintenance of AMBSO’s fleet and ensure regular maintenance of AMBSO’s fleet.
- Supervise and support the human resource functions and ensure staff well-being and performance.
- Maintain and monitor implementation and compliance to relevant policies such as finance, human resource, procurement, stores among others.
Finance and Grants Management
- Lead the finance operations including finance management, accounting, control and reporting.
- Provide accurate and timely reports to support informed decisions by AMBSO’s senior management
- Manage and lead AMBSO’s financial planning process.
- Ensure effective budget workflows to enable departments meet their goals and objectives in view of the organization’s financial situation/stand.
- Together with other colleagues in management, help both “checking” and also authorizing financial requisitions as per the approved budgets..
- Spearhead AMBSO’s finance audit processes as well as other specific audits.
- Work with the accounts office to prepare monthly financial reports.
- Maintain strong work relationships with AMBSO’s operational banks, auditors, and finance liaison persons representing collaborating institutions.
Qualifications, Skills and Experiences
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is essential.
- Advanced degrees such as an MBA, MSc in Finance, and or professional certifications like CPA, CFA, or ACCA is a MUST
- At least 5–7 years of experience in financial management, with a minimum of 2 years in senior leadership roles.
- Experience in non-profit organizations, research institutions, and or donor-funded programs is an added advantage.
- Familiarity with international financial reporting standards (IFRS) or US GAAP is an added advantage.
- Strong analytical abilities to interpret financial trends and recommend cost-saving measures.
- Strong leadership skills to manage teams across finance, IT, HR, and administration functions.
- Ability to develop long-term strategies that align with organizational goals while adapting to changing environments.
- Excellent verbal and written communication skills for presenting financial data to stakeholders.
- Ability to build productive relationships with diverse internal teams and external stakeholders such as donors or board members.
