Primary Responsibilities
RESPONSIBILITIES AND TASKS:
Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy
Responsible for all procurements both goods and services and make sure these are in accordance with local laws and donor requirements.
Conduct Market pricing as and when needed.
Compile procurement plans which are approved and remind all departments to submit their requirements on a quarterly basis.
Ensure all vendor requirements are met including anti-terrorism vetting for new vendors.
Recommend changes in local procedures, where necessary.
Meet with vendor representatives and promote ChildFund business ethics.
Oversee required and long term vendor contracts.
Oversee Sealed Bid Processes for Country Director’s approval.
Prepares procurement memos and issues to concerned internal and external contacts.
Respond adequately and timely to audit queries.
Send weekly procurement status reports with all concerned internally.
Produce an annual procurement committee meetings calendar.
Verify all procurement documents for completeness, reasonableness and compliance with procurement policies and procedures.
Coordinate with National Office and Regional Office management in procurement planning, execution and adherence to policies and procedures.
Perform any other duties as assigned by Management of ChildFund.
Required Experience and Education
- Minimum of a Diploma in Purchase and Supply Chain Management
- 3-5 years’ experience in local procurement of goods and services.
- Must be familiar with Donor’s procurement policies and procedure
- Good writing and analytical skills
- Ability to work independently and under pressure
- Computer proficiency in general office software applications (i.e. Word, Excel, Outlook)
