Job description

Role Purpose
To provide high-level administrative support to the MFS Director and the Function as required.To provide effective and proactive support to the MFS Director by managing the process for all governance meetings, including communicating decisions and agreed actions and following up in a timely manner, working closely with various units as appropriate.Also provide governance and co-ordination of activities including critical business issues, reporting and analysis, project management and overseeing preparation of management documents.Coordinating the efforts of team members and third-party contractors in order to deliver projects according to plan.

Key Accountabilities And Decision Ownership

  • Management of the calendar, correspondence and logistics of the Director including logistics for the wider team (supplies, conferences, meetings)
  • Arrange meetings and conferences including the handling of communication, travel arrangements, process related functions and documentations
  • Collate Director’s reports e.g., weekly Management team update. Provide key management/ SMT level reports for Director where required e.g., operational/project reviews / budget reviews / off-sites
  • Manage documentation on behalf of Director with emphasis on confidentiality. Flag up agenda items with Director’s direct reports and other heads as appropriate and prepare, proofread and edit all outgoing correspondence. Manage / support the Director’s special projects and support with business projects
  • Serves as a backup to the IT Operations Manager on the need basis.Proactively manage the total workflow of the Function and ensure efficiency in driving deliverables
  • Serve as the point of contact between MFS and other internal and external stakeholders by facilitating the aggregation and exchanging of relevant information from meetings
  • Drive all agreed Functional engagements
  • Support with the budget and expense processes across the Function including raising purchase orders, receipting, etc
  • Create a dashboard to manage all workflow in-stream across the Function to ensure timely delivery against timelines
  • Manage the total information database of the Function by developing and maintaining a system to archive all relevant output and information

  • Must be able to work seamlessly across the team and channel all key inputs into desired outcomes
  • Must show initiative and anticipate the needs of the team and work proactively to deliver the necessary support
  • Manage, facilitate, and provide structure to Leadership Team meetings
  • Develop wider key team relationships with the MFS Director’s Direct Reports (MFS Leadership Team)

  • Must have a natural verve for seeking out new ideas and opportunities
  • Should exhibit creativity in approaching everyday challenges in the workplace

Knowledge and experience

  • Prior experience in a similar role is ideal, Mobile Money background is desirable
  • Work with Senior Management teams on a day-to-day basis providing credible and appropriate challenge when necessary
  • Proven ability to influence and build relationships at a high level across different functions and stakeholders
  • Excellent commercial acumen and ability to identify and solve varied business problems
  • Strong prioritization, organizational and people management skills
  • Demonstrate a robust personal style in combination with a flexible solution driven approach
  • Excellent written and spoken English
  • Excellent communication and presentation skills to ensure credibility with higher level management
  • Intermediate to advance skills in usings spreadsheets and conducting analysis on data for presentations

Communication

  • Preparation of key events for MFS and where the Director is involved, as required
  • Production of high-quality communications that is accurate, timely, and effective

Technical And Professional Qualifications

  • A bachelor’s degree from a reputable institution
  • Prior experience in telecoms industry is a plus but not a requirement
  • Excellent knowledge of Office tools including Outlook, Word, PowerPoint and Excel
