Responsibilities
The performance of the Partnership and Collaboration Officer will be measured using the following:
- Track the number of grants secured within a specific period.
- Calculate the percentage of successfully acquired grants out of the total applications submitted,
- Measure the total monetary value of grants secured during a designated timeframe.
- Assess J-HF’s ability to secure grants from various sources, including government agencies, foundations, and corporate partners.
- Quantify the Officer’s success in initiating new partnerships aligned with J-HF’s goals.
- Measure the ability to maintain and strengthen relationships with current partners.
- Evaluate the overall quality of grant proposals in terms of sustainability,
- clarity, alignment with organizational goals, and adherence to donor guidelines.
- Assess the accuracy of proposed budgets compared to actual expenditures.
- Evaluate the Officer’s ability to optimize resources within the proposed budget.
- Evaluate how promptly the Officer submits required reports to funding partners.
- Assess the effectiveness of impact reports in showcasing the outcomes and success of funded projects.
- Monitor attendance and participation in relevant conferences, workshops, and networking events.
- Track the number of new contacts made at events and the subsequent development of these connections.
- Manage sub grantees of J-HF and provide technical support to J-HF’s partners
Functions / Day to day Activities
The day-to-day activity of the Partnership and Collaboration Officer for J-HF Foundation are as follows:
Relationship Building:
- Cultivate and maintain relationships with potential funding partners, including donors, foundations, and corporations and sub-grantees.
- Network within the philanthropic community to identify new funding prospects.
- Attend events and conferences to establish connections and promote the organization’s work.
- Promote J-HF’s initiatives to potential partners with similar interest as J-HF Foundation
Grants Management:
- Oversee the entire grant lifecycle, from application to reporting.
- Ensure compliance with grant requirements and deadlines.
- Work closely with finance and program teams to track budget allocations and expenditures related to grants
Partnership Development:
- Identify and initiate partnerships with other organizations, NGOs, and businesses that align with J-HF’s mission and vision.
- Negotiate terms of partnership agreements and Memoranda of Understanding (MOUs).
- Collaborate with internal teams to ensure effective implementation of partnership activities.
- Work with the Program manager and Executive Director to gain and advocate for more partnerships.
Proposal Budgeting:
- Collaborate with finance teams to develop accurate and realistic budgets for grant proposals.
- Ensure that proposed budgets align with the organization’s financial policies and guidelines.
- Manage partner’s budget and track spending of partners to ensure it is according to the Budget approved.
Monitoring & Evaluation:
- Support gathering feedback from recipients for monitoring, evaluation, and learning purposes.
- Conduct necessary data collection and provide required information and data to the monitoring and evaluation department in the required format.
- When necessary, perform site visits to monitor Performance.
- When needed conduct financial and programmatic audits during implementation
Communication and Advocacy:
- Develop communication materials highlighting the impact of grants and partnerships for the J HF Foundation.
- Advocate for J-HF’s work through various channels, including social media, conferences, and publications.
- Compliance and Risk Management:
- Stay informed about changes in regulations and compliance requirements related to grants.
- Identify and mitigate potential risks associated with grants and partnerships
Database Management:
- Maintain an updated database of funding opportunities, partners, and relevant contacts.
- Track and report on the success rate of grant applications and partnership development efforts.
- Capacity Building:
- Provide training and support to internal teams on best practices for grant management and partnership development.
- Keep abreast of industry trends and share knowledge within the organization Any other task assigned by the management
Requirements
- Prior experience with internationally funded projects is highly desirable.
- Demonstrated experience reviewing and negotiating budgets, reviewing financial reports, preparing for and monitoring audits, and file management.
- Proficiency in using Microsoft Office software, MS Word, Excel, PowerPoint, Outlook, etc. is required
- Ability to work under pressure and efficiently handle multiple tasks. PSEA and Safeguarding certificate
- Ability to work under own initiative or as a part of a team.
- Experience working in a conflict environment is a plus.
- Fluency in oral and written English is required.
- Fluency in Hausa and one of the languages spoken in North-East Nigeria is preferable.
