Main purpose of the job
This role supports HR Business Partners (HRBPs) to ensure that the right people are effectively recruited and integrated into the organisation, and that throughout the employee lifecycle HR processes are implemented in a way that is consistent, compliant, and aligned with best practice.
The People Services Coordinator works closely with the HR Business Partners to deliver proactive and effective People services to designated groups of Tearfund staff. The People Services Coordinator will support HRBPs with recruitment to ensure that all new staff are recruited, onboarded and inducted effectively in line with Tearfund’s
Recruitment Policy and best practice. The People Services Coordinator will also support HRBPs with training and facilitation, HR administration and other delegated tasks or project work.

7. Duties and key responsibilities
Recruitment Support
● Provide support with recruitment activity under the guidance of the HR Business Partners
● Work with HRBPs, particularly UK-based HRBPs and line managers to coordinate job vacancies and provide advice throughout the recruitment process, ensuring roles are recruited in a timely and effective way in line with Tearfund policies and procedures – this will include:
○ Liaising with recruiting managers
○ Advising on job adverts and assisting with drafting if required
○ Requesting and obtaining authorisation for recruitment in line with current organisational
requirements
○ Manage vacancies using the online recruitment system
○ Liaising with advertisers and recruitment agencies
○ Screening candidate applications and assist with shortlisting as required
○ Organise interviews and administer tests and presentations
○ Arrange pre-employment medical checks, security checks and request references
○ Proactive and professional communication with candidates
● Oversight of the use and development of the online recruitment system to ensure that the information we
have is efficiently captured and managed for easy access, including:
○ Leading on the effective day to day use of the system
○ Identifying and actioning areas for improvement and development where possible
○ Ensuring correct use of the system within the team and with all internal users
● Oversight of Tearfund’s Jobs Webpage and the Corporate Hub ensuring they contain up to date, accessible and attractive information
● Safer Recruitment
○ a) Manage and be the relationship holder the use and development of the two online police
check systems (Procius & Sterling)
○ b) train HRBPs, Officers and Assistants on the correct use of both police check systems
○ c) Carry out safer recruitment checks on all trustees

Onboarding and induction
● Facilitate the smooth onboarding of new staff, coordinating inductions, and ensuring new staff are well integrated. This includes assisting HRBPs and line managers to arrange individual staff inductions and coordinate buddy allocation for new staff.
● Shared responsibility for facilitating global inductions, line manager inductions and other training e.g recruitment and assisting with training new staff on the HR System where required.
HR Administration:
● Produce offer letters and employment contracts and draft correspondence and paperwork covering the whole employee life cycle
● Oversee pre-employment checks and notify the relevant HRBP on progress and/or issues with recruitment
● Assist People Services colleagues where required to ensure effective payroll administration including input and maintenance of data on Select HR and timely and accurate communication to Payroll in relation to joiners, leavers and changes.
● Assist HR Business Partners with project work e.g research, data analysis and reports
● Provide administrative support in various tasks as required e.g arranging meetings and taking meeting notes
Compliance & Training:
● Train UK recruiting line managers and panel members on the end to end recruitment process
● Provide training on the online recruitment system to staff members as and when required
● In partnership with the Learning and Development team:
○ Deliver in-house training on conducting interviews, CV writing and interviewing skills
○ Develop and manage E-Learning training on recruitment good practice, conducting interviews, CV
writing and interviewing skills
○ Develop and manage training materials for Diverse & Inclusive recruitment practices.
● Have a good understanding of Tearfund’s Staff Handbook, global policies, procedure and work with HRBPs
and other People & Culture colleagues to ensure people practices comply with organisational policies and employment legislation
● Facilitate training on Recruitment and HR policies, practices and systems.
● Work with People Services colleagues to maintain accurate and confidential staff records, updating the HR System with details of new staff, leavers and other changes as required
Reporting:
● Produce accurate and timely quarterly reports in relation to recruitment activity
● Produce recruitment reports and statistics, analyse the data and translate it into management information
● Produce diversity and inclusion statistics as they relate to recruitment
Staff and Candidate Enquiries:
● Deal with routine candidate and staff enquiries promptly and professionally, providing answers in line with policies, employment legislation and best practice
● Provide advice on terms and conditions where appropriate, in accordance with HR policies and procedures and staff handbooks
Team contribution
● Contribute to the life and work of the People Services team, helping out administratively where necessary
● Take part in team meetings, including taking notes etc as required.
● Engage in activities within the team relating to spiritual sessions of worship, prayer, reflection or teaching

● Help other People Services colleagues with their workload wherever necessary
● Communicate effectively with other team members

Qualifications 

Degree or equivalent level of knowledge
● Part-qualified or interest in working towards CIPD membership or equivalent global HR qualification

Experience 

Substantial UK experience of Human Resources (or similar) work experience required
● Experience of UK recruitment and selection processes
● Experience and proven ability to develop and manage a range of administrative processes
● Experience of using an electronic information systems e.g HR and/or Recruitment systems
● Experience of working in a fast paced environment
● Team working
● Some experience of leading meetings and facilitating training
