Responsible for the back office support of Corporate Affairs projects within the Corporate Affairs function and providing coordination service to the Corporate Affairs team, ensuring consistency with company strategy, commitments and goals.
Project Administration o Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project derived from Project Plan o Participation in Team Meetings & recording of meeting outcomes o Maintain Project calendars o Ensure coordination of the interfaces of Head Office and Regions o Prepare and/or edit meeting minutes, presentations and tables. o Support roll out of infrastructure, requirements, vendors etc o Ensure adherence to deadlines o Responsible to track project changes and produces updated site based schedule as agreed with project management. o Maintenance of project plan o Monitor project budget and provide monthly reconciliations o Monitor communications plan to ensure regular communications with the project sponsors, Steering Committee, regions, and the Project Team o Plan and schedule project timeline meetings o Assist with satisfactory hand-over and anchoring with appropriate publicity at project completion and performance of project evaluation and debriefing stage Performance o Adherence to governance requirements o Manage client invoices, vendor payments, and the requests to release funds and resources as needed o Collation and filing of project progress reports, presentations and proof of concept documents for pilots ensuring ease of access to documents o Receive, screen and respond to request for sponsorship according to the CSI programme objectives and funding policy for ABI COF o Manage integrity and execution of the overall CA Calendar o Procurement of project supplies.
