In Uganda, our 50 staff work with more than 7,000 farmers in Mt. Elgon, Busoga, and Mbale to implement the Forest Garden Approach. This year, we’ll plant over 11 million trees, improving food security, restoring ecosystems, and fostering resilience for farming families and their communities
THE ROLE
The Procurement and Logistics Assistant will oversee the procurement and logistics activities across multiple regions and ensure that purchased items are both cost-efficient and high quality. The Procurement and Logistics Assistant’s responsibilities include implementing procurement processes and assisting in preparation of annual procurement plans. This role will also support the distribution of supplies, materials, seeds, and equipment in field offices, maintaining positive supplier relations, and maintaining accurate records.
RESPONSIBILITIES
- Collaborate with field teams to identify procurement bottlenecks and address them in a timely manner.
- Assist the Procurement and Logistics Officer in implementing procurement processes, including open tendering, to ensure fairness, avoid collusion, and manage costs effectively.
- Support the planning and execution of procurement and supply chain activities, including store management and distribution, ensuring timely delivery and avoiding delays.
- Assist in preparing and monitoring the implementation of the annual procurement plan.
- Help evaluate procurement requirements to optimize sourcing and supply strategies.
- Ensure all procurement activities comply with the TREES’ Procurement Manual, financial controls, and relevant organizational policies.
- Maintain positive supplier relationships and negotiate contract terms.
- Assist with travel arrangements for TREES staff, including transportation and accommodation.
- Support the Procurement Unit, Committees, and Evaluation teams in their functions.
- Prepare and submit accurate monthly procurement reports to the Procurement and Logistics Officer.
- Assist with the distribution of supplies, materials, seeds, and equipment to field offices.
- Maintain motorbike and vehicle mileage logs, and track fuel consumption.
- Conduct regular inspections of regional work areas, job sites, and work crews to ensure a safe working environment.
- Assist in implementing safety policies and ensure proper and accurate accident reporting and documentation.
- Track and reconcile receipts and expenditures at field offices.
- Help maintain an updated Asset Register.
- Ensure the safe, proper, and secure storage of all equipment and supplies according to item classifications.
- Organize and deliver training sessions on procurement and supply chain management for project personnel.
- Support the Seed Bank Department by verifying delivered seed quantities against requested amounts and, checking and documenting distributed seed quantities.

ROLE REQUIRMENTS
- University Degree in Procurement, Supply Chain Management, Business Administration, Commerce or related relevant field.
- 2 years of relevant experience working in Procurement, preferably in an NGO/and/or development program, with experience in managing complex sourcing processes and supplier relationships in the delivery and management of procurement and supply chain services, stores and assets management.
