Job description

The primary responsibility is to source for goods and services, make commercial recommendations and ensure timely supply and delivery of goods and services to enhance efficient operations of TFL.

The role requires expeditious following through and closing out of all requests/queries from End-Users, Suppliers, Logistics and Finance.

 

Specific Job Responsibilities:

  • Sourcing for goods and services as well as making commercial and technical recommendations in liaison with end-users in line with TFL and FQM Trident procedures to meet end-user requirements.
  • Expediting of goods and services and engaging with suppliers, logistics and other stakeholders to ensure goods arrive in the required timeframe.
  • Ensure dates and information against purchase orders in Pronto is accurate, updated, and valid to enable end-users make necessary decisions.
  • Carry out market research and maintain both market and product knowledge for goods and services required by TFL.
  • Holding suppliers accountable to supply on time and make good on any discrepancies.
  • Build and maintain professional working relationships with internal (warehouse, accounts, logistics, onsite customers) and external (suppliers, freight forwarders, vendors) to fulfil the responsibilities of the role.
  • Maintain a register of donations and facilitate delivery to the intended beneficiaries as well as issuance of donation certificates.
  • Conduct housekeeping inspections of the warehouse, stockyards and back-end of the premises and make follow ups with relevant team members for implementation of recommended actions to ensure the work premises are kept neat, tidy and safe.
  • Coordination of non-passenger transport requests including plant and equipment hire.
  • Facilitation of collections of items from suppliers in collaboration with Logistics section from FQM Trident Ltd and internal TFL staff
  • Managing the vendor registration process and ensure timely approval of the process
  • Coordinating feedback to/from end-users on open POs and ensuring timely and accurate submission of monthly accruals report to Finance and closing of open orders.
  • Initiate identification of obsolete and redundant stock and make recommendation for disposal and proper storage as may be required.
  • Manage tender process from reviewing of scopes, issuing requests for bids, adjudication, drafting of recommendation reports and contracts/MoUs.
  • Perform any other duties as and when assigned by the Supervisor/Manager.

Required Experience and Qualification:

  • At least 2 years’ experience in the same or similar position in a busy or large-scale organisation.
  • A minimum of one-year experience in procurement of project related works and services.
  • Experience in dealings with local and international suppliers and freight forwarders.
  •  A basic understanding of warehousing, inventory management and remote site supply chain management.
  •  Knowledge in basic workplace health and safety
  • Full Grade Twelve Certificate.
  • Minimum of a degree in Supply Chain Management or related discipline.
  • Member of Zambia institute of Purchasing and Supply (ZIPS).
