Job description

Our client, in the Project Management field is seeking an experienced Project Administration Assistant to join their team. The incumbent will be responsible for supporting the smooth operation and efficient administration of project finances, procurements while also supporting the Project Coordinator with PR initiatives.

Key Responsibilities

  • Assist the project management team in coordinating and organizing project activities and executing public relational tasks.
  • Prepare and maintain project documentation, including meeting minutes, project reports, and correspondence.
  • Assist in the preparation of project schedules, budgets, and resource plans.
  • Manage project documentation relating to finance and procurement, and ensure they are organized, up to date and easily accessible.
  • Coordinate project meetings, including scheduling, preparing agendas, and taking minutes.
  • Communicate and follow up with project stakeholders to ensure project requirements and deadlines are met.
  • Assist in preparing project presentations and reports.
  • Track and monitor project progress and provide regular updates to the project management team.
  • Assist in managing project risks and issues, including identifying and escalating potential problems.
  • Conduct research and gather information as needed to support project activities.
  • Provide general administrative support to the project management team.
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree in Business, Marketing, or a related field.
  • 2 – 4 years of experience in a similar role. Previous experience in an administrative role, preferably in a project management setting is an added advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong self-management, organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently and as part of a team.
  • Knowledge of project management principles and methodologies is a plus.
