Duties and Responsibilities
1.Ensure that reports are sent to the project’s national and international funders/Donors and partners with the required quality and timeline.
- Develop an overall reporting strategy for the PSP project.
- Coordinate and provide technical guidance to the PSP in meeting internal and external reporting requirements and deadlines, including quarterly. bi- annual and annual reporting process.
- Collect reports from the three Regions, compile and finalize donor and programme reports (both narrative and financial).
- Draft annual PSP report including impacts, outcomes, and outputs of PSP.
- Compile and consolidate PSP quarterly, bi-annual, and annual reports.
- Develop a system to track the indicators and targets for the PSP.
- Systematize the financial tracking of PSP.
- Synthetize main programme results to update programme fact sheets.
- Compile spending per programme outcome and outputs, as per annual and semi-annual reports.
- Lead the review of financial reports based on contractual obligations.
- Timely synthesis and submission of quality and accurate reports
- Identify gaps and develop appropriate reporting formats to meet all reporting requirements of the Project.
- Develop and establish a reporting schedule and ensures the timely submission of reports as identified.
- Coordinates inputs to and draft reports related to project activities.
- Review progress reports submitted by partners and provided feedback to improve quality and timeliness of reporting.
- Provides quality assurance on reports, including data verification on all reports and information products produced by the project by improving and consolidating all reports prepared by the project.
- Deep understanding of reporting documents and ensures the quality of high-value data for accuracy, consistency, and comparability.
- Drafts briefing notes, talking points and other correspondence related to the project.
- Coordinate annual reviews for reporting and planning.
- Provide strategic guidance to partners on reporting qualities and timelines.
- Provide advice to the PSP in the clearance of donor agreements and Programme Cooperation Agreements in line with donor reporting.
- Monitor the spending of donor funds and other programme expenditures and disbursements.
- Oversee reporting of results to internal (Senior Management) and external Donors
- Track and compile the conformity of annual and semi-annual reports against the donor reporting template, and support in liaising with implementing agencies to improve these, as needed.
- Support the update of the PSP – RF at the impact, outcome, and output levels.
- Produce quality reports for target groups and in a timely manner,
- Produce regular and mandatory reports (interim, annual, and final reports) on the project’s results and activities.
- Finalize donor and programme reports (both narrative and financial).
- Serve as a focal point for reports to donors.
2.Undertake data quality monitoring and database management for effective program implementation.
- Develop and implement quality and timely systems for tracking and data base management.
- Develop data base management system for PSP project.
- Ensure the availability of database for PSP (including collecting and maintaining) of data for PSP.
- Monitor data from partners on a quarterly basis and draft regular management briefs to inform decision making.
- Visit partners to support monitoring of results and planning processes.
- Support monitors the spending of donor funds and other programme expenditures against reported results.
- Ensure use of relevant evaluation findings, conclusions and recommendations are incorporated to programme formulation.
- Ensure the incorporation of monitoring data in to reporting.
- Ensure data collection and analysis from field visits are coordinated and standardized across regions.
- Monitor data from partners on a quarterly basis and draft regular management briefs to inform decision making.
- Visit partners to support reporting of results and planning processes.
- Ensure sufficient funds for monitoring, evaluation and reporting at national, regional and woreda levels.
3.Promote stakeholders’ collaboration on reporting.
- Establish/maintain partnerships with governments and stakeholders in the areas of reporting.
- Coordinate the finalization of donor reporting with the Partnerships Development and Results Management Hub.
- Liaises with the UNDP Communication unit regarding the accuracy of information included in visibility materials and publications.
- Acts as a focal point/central instrument for the collection, analysis, and dissemination of information relevant to the project.
- Promote stakeholders’ collaboration on reporting and evaluation that is gender responsive: the inclusion of gender equality dimensions in reports and evaluations.
4.Facilitation of knowledge building and knowledge sharing
- Contribute to knowledge building in the areas of reporting.
- Identify and disseminate good practices, lessons, and knowledge; as identified through programme implementation, monitoring and evaluation activities.
- Extract and share significant experiences, best practices and case stories with stakeholders.
- Produces and updates information products such as maps, charts and infographics by turning data into graphical products to convey messages and a storyline.
- Develop Quality knowledge management tools to help extract knowledge from project implementation.
- Supervise training events and design/set training agenda to build capacity of stakeholders on reporting.
- Conducts other duties as required by the Director.
- Facilitation of knowledge building and knowledge sharing Planning and establishing an order of priorities for project documents to be discussed with the Steering Committee
- Ensure that the project’s innovations are highlighted for greater visibility of UNDP as an organization, while contributing to the consolidation and building of the knowledge base, particularly in terms of common practices in the “gender” approach
- Assist the Director in writing speeches and preparing for meetings.
- Review factual corrections in reports/flyers before they are disseminated.
5.Build partners capacity in the areas of reporting.
- Develop capacity development tools, including training materials and packages.
- Undertake capacity building for staff and partners in the areas of reporting.
- Timely and quality technical support to the programme team and partners in line with work plan and reporting
- Provide technical guidance to PSP in and oversee monitoring and tracking of results against PSP -RF
- Build capacity of staff on project reporting and the use of monitoring tools and means of verification in order to achieve program results.

Job Requirement
Education:
- Master’s degree (or equivalent) in social sciences, international relations, communications, journalism, public relations, or related fields.
- A first-level university degree in combination with an additional two years of qualifying experience may be accepted in lieu of the advanced university degree.
Experience:
- Minimum five years (With Master’s) or seven years (With Bachelor’s) years of progressively responsible experience in donor reporting, communications, public relations, project development, data Analysis, data visualization and report writing experience at national and international levels.
- Strong IT skills, knowledge of web-based system desirable
- Consistently approaches to work with energy and positive attitude.
