a) Provide technical and administrative support in order to ensure effective and efficient projects planning and quality implementation;
b) Handle day-to-day project correspondence, information sharing and filing to ensure that appropriate follow-up actions are taken;
c) Monitor Project Resources and undertake timely purchase requests and coordination of project inputs;
d) Assist the Project Officer – Planning and Implementation in coordinating and scheduling meetings with internal and external stakeholders;
e) Draft minutes of Project meetings and other related meetings as required by the project management office;
f) Prepare meeting materials, including reports, presentations and agendas;
g) Responsible for administrative matters such as registry and maintenance of project files and records;
h) Organize logistics in terms of transport requirements, receipt, handling, storage and distribution of items and establishes proper
warehousing and recording systems including assets;
i) Support the project management specialists and team members in tracking project progress and timelines;
j) Assist in the coordination of project activities and tasks, ensuring they are completed on time and within scope;
k) Monitor project deliverables and ensure that deadlines are met; and
l) Respond to inquiries and provide information as needed to project team members and stakeholders.
3.0 ACADEMIC QUALIFICATIONS AND REQUIRED ATTRIBUTES
a) General Education
Full School Certificate or its equivalent.
b) Academic/Professional Qualifications
i. Diploma in relevant fields such as Project Management, Engineering, ICT, Business Administration, or equivalent qualification.
ii. Relevant certifications (e.g. CAPM) are an added advantage.
iii. Membership to a relevant professional body with valid practicing certificate
c) Work Experience
Two (2) years’ relevant work experience.
d) Core Competencies
i. Ability to effectively communicates with individuals outside the section, requiring tact and professionalism.
ii. Preparation of routine reports and documents with proficiency in Microsoft tools.
iii. Interpretation and analysis of straightforward data and information.
iv. Ensuring accuracy in numerical tasks and applies basic formulas.
v. Independently resolving work-related issues within defined responsibilities.
vi. Making informed decisions aligned with established procedures and guidelines.
