The Warehouse Supervisor is responsible for planning, monitoring, and overseeing the safe custody and storage of food commodities entrusted to World Vision by donors. The supervisor also oversees the documentation and transaction of commodities in the Warehouse, including receipting, storage, off-loading, and delivery. The incumbent ensures proper storage, handling, and dispatch of food and non-food items to the intended field destinations according to WVZ and donor commodity management standards.
Major Responsibilities
- Warehouse & Commodity Management
- Ensure that all commodities in the warehouse are properly stored, handled, dispatched, accounted for, and reported according to World Vision and Donor guidelines.
- Ensure that the warehouse is kept neat at all times, inside and outside.
- Ensure all commodities arriving at the warehouse are appropriately accounted for through proper requisitions and waybills/ delivery notes.
- Supervise off-loading of the commodities and make sure that it is correctly undertaken.
- Ensure commodities are correctly stored. They must be stacked and organised by commodity type and shipment number to facilitate proper physical count.
- Plan on the warehouse capacity and layout of commodities regularly.
- Ensure that torn bags/ leaking containers are separated, reconstituted/repacked immediately, and issued on priority.
- Ensure that all stacks have stack cards and that the stack cards are updated.
- Monitors the physical count of commodities regularly.
- Ensure that the warehouse has a valid Warehouse Contract.
Liaison & organization:
- Responsible for ensuring that transporters are organized at the warehouse and ensuring that loaders and other staff at the warehouse are working well without glitches, facilitating a smooth flow of incoming trucks/commodities and dispatches.
- Plan on the warehouse capacity and layout of commodities regularly.
- Ensure that torn bags/ leaking containers are separated, reconstituted/repacked immediately, and issued on priority.
- Liaise with Field teams for dispatches and organize smooth and timely dispatches to the field for distribution.
- Organization and planning for receiving commodities from the donor in the required quantities, checking the quality and orderliness of documents.
- Ensure that the transporters used in the districts have valid contracts with World Vision
Documentation and Reporting
- Ensure timely preparation and submission of the warehouse reports as required by the donor and WVZ for decision-making.
- Ensure all relevant documentation of commodity movements and distributions is adequately maintained.
- Scrutinize waybills to ensure that the correct quantities have been indicated in the waybills, and record underweight, excesses and lost quantities (if any).
- Ensure proper documentation of reconstituted commodities. Report on any incidences touching on security at the distribution centre
Knowledge/ Qualifications
- At least a Diploma/ Degree in Stores Management/ Purchasing and Supply or any related field.
- At least 5 years experience in commodity management (Food and Non-Food Commodities). Experience in Humanitarian Assistance Programmes is an added advantage.
- Experience in managing transport contracted services is desirable
- Ability to work with and manage teams, good communication skills
- Good time management and computer skills, especially for commodity management systems
- Class 4 Driver’s license an added advantage
