Under the direct supervision of the Field admin & finance officer. The finance & Admin assistant will be responsible for the timely completion of finance and administration support services in a range of Finance and Administrative areas encompassing general administration and finance support, travel and logistics and other operational areas. S/he shall evaluate and follow up on service provision to ensure best delivery in compliance with applicable standards; as well as ensure strategic and efficient management of project financial resources within the Donor expectations and MDM France requirements.
Essential duties and responsibilities.
Finance
- Responsible for Handling cash & Cash control on daily and monthly basis.
- Responsible for the preparation and reviewing of the Cash payments of the project office.
- Recording daily cash transactions in SAGA and sharing weekly & monthly SAGA backup to field finance & admin officer
- Cash forecast and withdraw cash from bank for field office activities, taking bank statements from bank, and other related bank cash transfer.
- Handle field office advance, effect payment for training, workshops, fuel, and other related activities.
- Maintaining & keeping finance documents properly until s/he submits to field office admin & finance officer.
- Work closely with the field Finance officer to ensure smooth operation and compliance with organization’s finance standards and deadlines.
- Maintaining accounting records, monthly report preparation, and ensuring the completeness of the report.
- Handle income tax and pension settlement to the government and document all necessary supporting documents& submit to field admin & finance officer or to the coordination office
- Responsible in preparing and reviewing all the supporting documents for the finance transactions to ensure full compliance with internal audit and company requirements,
- Any other duties that may be deemed appropriate for this role and other necessary tasks given by line manager
- Paying monthly project office utilities such as water, electric utility, monthly internet service and send the supportive documents to field admin & finance officer or to send the coordination.
Administration, and Human resources
- Submit and follow up reimbursement of employee’s medical claim to field admin & finance, or HR & Admin department in Addis Ababa.
- Maintain and keep employees personnel files at the project office.
- Collect signed timesheet from staff and send to field office.
- Responsible Follow up monthly employee’s annual leave balance and reporting to
- Field office finance & admin officer.
- Reporting overtime worked by security guards.
Job Requirements
Educational Qualification : Bachelor’s degree in accounting & finance, Management,
Work Experience
- With 2 years’ work experience in NGO financial management and/or accounting.
- Experience with other INGO is a plus.
Skills and qualities required
- Active knowledge of accounting software
- Active knowledge of English language writing and speaking
- Proficiency in Accounting software, MS Excel and MS Word as well as good grasp on Internet and email communication.
- Ability to work independently and under tight deadlines.
Languages : Working knowledge of English is mandatory (speaking and writing) good knowledge of Afar language is required and knowledge of Amharic language will be an asset
