Job description

  • We are currently seeking a highly skilled and experienced Front desk officer to join our Dynamic team. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.
  • As a Front Desk Officer, you will play a key role in providing exceptional customer service to clients, visitors, and employees while efficiently managing administrative tasks.

Responsibilities

  • Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner.
  • Receive visitors and render necessary assistance when necessary.
  • Schedule meetings, book appointments for directors.
  • Coordinate the dispatch of mails, letters, Memos/reports (electronic and physical).
  • Coordinate and close monitor all the duties of the domestic staff to ensure quality delivery of tasks.
  • Operating photocopy equipment, fax machines, printers, or other equipment necessary.
  • Maintain records and logs of facility activities and requirements.
  • Procurement and maintenance of office supplies, stationeries, and equipment.
  • Keep up to date Inventory record of all company’s property.
  • Liaise closely with the account department in the reconciliation of vendors payments.
  • Coordinate activities of all third-party contractors/vendors e.g. Newspaper vendor, maintenance & repair vendors, and suppliers to ensure top notch delivery of service.
  • Required to carry out such duties and functions assigned by Management from time to time.
  • Coordinate all activities relating to the operations of the generator as to:
  • Generator Operation Oversight: Take charge of operating diesel generators, ensuring they are started, monitored, and shut down as required to meet facility needs.
  • Schedule and coordinate routine maintenance tasks for diesel generators, including oil changes, filter replacements, and general inspections, in collaboration with maintenance staff or external service providers.
  • Emergency Response: Act promptly in the event of generator malfunctions or power outages, implementing troubleshooting procedures and liaising with mechanics or technicians for immediate resolution.
  • Maintain accurate records of generator operation, maintenance activities, fuel consumption, and any repairs or service performed, ensuring documentation is up-to-date and readily accessible.
  • Monitor diesel fuel levels, manage fuel storage facilities.
  • Liaise with mechanics, technicians, and diesel suppliers to coordinate service schedules, resolve issues, and ensure timely delivery of supplies.

Qualifications

  • A Degree in Social Sciences.
  • Experience: At least 2 years’ experience in related field.
  • Age: Not more than 35 years old.
