To provide a training administration support function to the Kwambula project (SOTTI) and associated stakeholders.
Key Responsibilities:

Schedule and arrange internal training as well as all logistical arrangements.

Establish and maintain a calendar of events, and book attendees against scheduled events.

Establish internal employee booking process (KMP employees)

Action all requests and queries relating to training administration.

Schedule and coordinate attendance on development activities, courses/workshops.

Produce support materials for training courses, including sign in sheets, required
-
handouts, evaluation forms etc.
-
Produce and distribute certificates of attendance for internal courses.
-
Ensure all sign-in sheets and post-event evaluation forms are returned, reviewed and collated.

Logistical arrangements and co-ordination of attachments and internship program.
-
Ensure compliance to relevant training policies & procedures.

Establish and maintain a database for the record keeping of training & education of employees.

Coordinate and facilitate logistics for external training programs, including scheduling, venue booking, and materials preparation.

Facilitate the payment process for external booking.

Manage scholarship applications and awards, including communication with applicants and selection committee

Administer employee study sponsorship program, including tracking and managing reimbursements and documentation

Maintain accurate and organized records of training activities, including attendance, evaluations, and feedback

Assist with administrative tasks such as data entry, filing, and document management

Provide support to the training team as needed, including coordination of meetings, travel arrangements, and other tasks.

Ensure quality service delivery and maintain positive relations customers.

Develop and maintain networks with external service providers.

Other duties as directed by the Supervisor.

Qualifications & Experience:
-
Minimum of a Diploma in Training Administration related courses or equivalent
-
Proven experience in administrative roles, preferably in a training or education setting
-
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
-
Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups of people
-
Proficient in Microsoft Office applications and other relevant software
-
Knowledge of scholarship and sponsorship programs is an asset
