Job description

To support the Real Estate Officer in ensuring the effective maintenance and management of the ZCCM-IH’s buildings and facilities, providing a safe, clean, and functional environment for all occupants.

Key Responsibilities:

General Maintenance Support:

Assist in the upkeep of buildings and grounds.

Help coordinate and log work orders for repairs and maintenance.

Support third-party service providers for specialized maintenance tasks.

Health and Safety:

Assist in ensuring compliance with health and safety standards.

Assist in conducting regular inspections to identify and address potential hazards.

Maintain records of safety checks and compliance.

Financial Management Support:

Help with delivery of rental invoices and demand notices and rental collection.

Assist the Real Estate Officer in management of leases, collecting rent, and handling tenant relations.

Ensure collection of service bills like electricity bills, water and sewerage bills, local authority (municipal) bills (council rates), ground rent and forward the same to the Administrative Officer and Real Estate Officer.

Assist in preparing payments certificates for third-party services.

Staff Support:

Assist in supervising maintenance staff, cleaning crews, and other related personnel.

Assist the Real Estate Officer in showing prospective tenants vacant offices and apartments for rent.

Assist the Real Estate Officer to advertise vacant offices and apartments.

Technical Support:

Assist the Real Estate Officer to prepare bills of quantities /schedule of works, drawing up of terms of reference and purchase requisitions.

Assist the Real Estate Officer to conduct site visits with bidders.

Assist with providing technical support for reactive repairs and maintenance.

Assist in the development and implementation of maintenance plans.

Ensure all maintenance activities meet organizational standards.

Communication:

Assist with liaising with tenants, staff, and contractors to ensure smooth operations.

Assist with address and resolve any maintenance-related queries or issues.

Assist in preparing reports on maintenance activities and outcomes.

ESSENTIAL/DESIRABLE QUALIFICATIONS/EXPERIENCE

a) Academic and Professional Qualification:

• Grade 12

• Bachelors Degree in Real Estate; Project Management; Land Economy;

Property Management, Facilities Management, Civil Engineering, Building Science or related technical field

b) Minimum Relevant Pre-Job Experience:

2 years experience in similar position, preferably in Real estate industry; Local property market;

Experience in Facilities Management or Property Management, familiarity with building systems, maintenance procedures, and health and safety regulations,

Experience in handling administrative tasks, such as logging work orders, managing budgets, and coordinating with contractors,

Experience in dealing with tenants, staff, and contractors to ensure smooth operations.
