Education, Skills and Qualifications:

  • Bachelor’s degree in the following discipline; Business Administration, Management, Insurance or a relevant discipline (a logistics background will be an added advantage).
  • Minimum 2 years of proven experience.
  • Strong teamwork skills with the ability to collaborate effectively.
  • Computer knowledge and data entry skills for efficient job task completion.
  • Geographical knowledge to assess and address driver difficulties.
  • Ability to maintain composure and professionalism during periods of stress.
  •  Demonstrated problem-solving skills, with the ability to anticipate, evaluate, and implement practical solutions.

Responsibilities:

Annual Fleet Fitness Renewal

  • Coordinate with relevant authorities to ensure timely submission and approval of fitness renewal documentation.
  • Maintain a comprehensive database to track fitness renewal dates, proactively addressing expiration.

Road Taxes Renewal and Carrier’s License Preparation

  • Collaborate with finance and regulatory bodies to ensure accurate and timely renewal of road taxes.
  • Conduct periodic audits to verify compliance and address any discrepancies.
  • Collaborate with legal and regulatory teams to prepare thorough documentation for the carrier’s license application.

  • Conduct regular reviews of licensing requirements to ensure ongoing compliance.

Number Plate and Vehicle Registration

  • Implement a streamlined process for quick and efficient number plate placement.
  • Develop a checklist for vehicle registration to expedite the 48-hour turnaround time

Insurance Claims Processing and Reporting

  • Liaise with the insurance provider to expedite claims processing, ensuring all necessary documentation is submitted promptly.
  • Analyze claim trends and provide recommendations for risk mitigation.
  • Collaborate with the claims department to analyze and report on the progress of insurance claims
  • Implement a system for regular updates on the smartsheet, enhancing transparency and accountability

Statutory Document Management

  • Regularly update the dashboard with accurate and current information on statutory documents.
  • Implement a document control system to track document versions and revisions effectively.

Comesa Certificates Application and Export Permits and Documentation

  • Research and stay informed on Comesa certification requirements, ensuring compliance for the entire fleet.
  • Develop and maintain relationships with relevant authorities to streamline the application process.
  • Establish a system for tracking and applying for police export permits, ensuring adherence to timelines
  • Guide drivers on necessary documentation for smooth cross-border operations.

DRD Bill Processing

  • Streamline the DRD bill processing system to minimize errors and delays.
  • Conduct regular audits to verify the accuracy of processed bills.

Operational Support

  • Actively engage with the operations team to understand their needs and challenges.
  • Propose and implement process improvements to enhance overall operational efficiency.

Internal Process Compliance and Security

  • Ensure compliance with internal processes related to fleet operations.
  • Report all cases of fraudulent activities and theft to the police, actively following up to ensure prosecution.
