Job purpose:
The Dispatch Officer – Trucks is responsible for selling and marketing all the company FMCG products, as well as create a positive image of the company to the public. The position holder will manage dispatch of FMCG products from the Abattoir to different destinations of customer selling points/outlets in trade within and outside Kampala, regulations under guidelines of BPIL while ensuring the accomplishment of goals and targets given by Management. (FMCG – Fast Moving Consumer Goods). The position holder is expected to follow the set rules, regulations and guidelines of BPUL while ensuring the accomplishment of goals and targets given by Management
Key Responsibilities:
Coordinating loading / dispatch and distribution of all the FMCG products sold at the Abattoir/Cold storage locations (Dressed chicken and all related products) to different customer points in trade
- Ensure to coordinate the processing and loading the right orders as placed by customers on a daily basis at the Abattoir together with Abattoir team.
- Ensure that the right orders received from customers are delivered according to weight range ordered
- Ensure communicating correct price and product specifications to customers
- Ensure professional approach to customer interface.
- Coordinate and ensure reconciling deliveries of products to customers based on their orders placed
- Ensure timely delivery of stock to respective customers
- Ensure all creates are returned from different customer points back to Abattoir
- Control and manage stock as prescribed by the Company’s SOP’s.
- Ensure a clean and tidy environment in the delivery truck
Provision of effective and efficient support to the customers in trade and at Abattoir
- Receiving complaints from Customers and quickly resolving them in case it can be handled within trade level, Issues beyond your capacity can be forwarded to the Sales Manager or Sales Officer for further consultations
- Dealing with customers efficiently in a professional, courteous and cordial manner giving them correct information about our products to enable them make an informed decision.
Train and support any new staff in distribution section
- Provision of support/orientation to any new staff in distribution section.
Maintain proper and effective communication, reporting, documentation and records in trade during delivery process
- Prepare and submit daily reports just in case of any variations or challenges encountered in trade like sales returns, high drip loss encountered, lost crates that may not be traced, delivery truck breakdown. Etc.
- Support the stock taking and inventory management processes once called upon
- Report immediately any shortages, losses or any other problems to your line manager.
- Raise Internal Stock Transfer (IST) for all unsold stock returned back to Abattoir
- Raise correct documentation for each customer delivery.
- Reconcile all stocks issued Daily
Manage Drip losses on trucks and ensure zero fraud in the dispatch process
Post deliveries into the system
Carry out any other duties as requested by the Supervisor
Education:
Degree or Diploma in Sales and Marketing, Business Administration or related field.
Minimum Academic Qualifications:
- Degree in Business Administration, Marketing or any related course
- Prior training in Professional Selling Skills and in Customer Service is an added advantage.
- Direct knowledge and experience of the HORECA market is an advantage
- Training in negotiation skills
- Strong Microsoft Excel skills
