Job description

Minimum first degree in Land Economy, Estate or Facilities Management or equivalent degree.
•   Previous experience in a bank’s estate or property management department is an added advantage
•   Should be patient, courteous, affable, very organised and a team player;
•   Good negotiation skills and interpersonal skills;
•   Ability to work under pressure and over long hours preferably over split locations;

5.  KEY RESPONSIBILITIES
•   Responsible for ensuring all properties in assigned zone/sector are well maintained in line with the Bank’s maintenance strategy approved from time to time. This includes undertaking proactive inspection of premises to pick up maintenance issues and working with the relevant stakeholders to resolve within set time approved by the Bank/Line Manager;
•   Co-ordinate with the scheduled officer for the proper management of all facilities-related contracted services within the assigned areas, including but not limited to:
•   Cleaning services
•   servicing of air-conditioners,
•   servicing of generator sets and fueling
•   General maintenance of electricity and supporting distribution system including the maintenance of AVR/stabilizers, inverters, UPS and transformers (if any);
•   Fire Safety (fire extinguishers and alarms systems)
•   Fumigation and pest control including disinfection exercises
•   Sanitation and waste management
•   Water supply
•   TV and other paid subscriptions

•   Update and track all property-related operational expenditure in the Cost Tracker and, present monthly reports to Line Manager.
•   Keep a tracker on all reported and identified service issues and ensure same are closed within agreed SLA set by Business or Line Manager.
•   Ensure all maintenance works under his supervision are carried out in line with accepted quality standards, under safe conditions before sign-off for payment.
•   Work with stakeholders in ensuring that vendors are paid in a timely manner and all withholding tax certificates due vendors are forwarded to them as appropriate.
•   Support the supervision of minor projects or branch upgrade works assigned by Line Manager covering but not limited to:
•   New branch builds and Set-up/Relocation of departments/staff
•   Working with the Health and Safety Officer/Manager in ensuring all premises under his control meet the minimum Health and Safety standards for use by employees and customers
•   Any other functions assigned by Line Manager from time to time.

KEY RESULTS AREAS
•   Keeping all assigned operational premises well maintained with excellent Look and Feel at all times;
•   Ensure all-time availability of power at the branches and keep electrical and air-conditioning systems as well as all services running to achieve an overall branch up-time not below 95%;
•   Ensure premises are clean with no breaches of local sanitation bye-laws;
•   Timely resolution of all service request (i.e. not exceeding one month for major maintenance and two weeks for minor requests from date issue is picked up);
•   Keep the operational Cost Tracker updated with all costs incurred not later than one week after being incurred.
•   Submit Monthly FM Reports highlighting issues including but not limited to:
o   Branch visits, dashboard on weekend or pre-holiday spot checks and any weekend works executed
o   Performance of key cost lines and any recommendations for cost optimization;
o   OHS incidents occurring, reported and/or remediated in the assigned spaces;
o   Updates on any maintenance or servicing that has taken place or due to take place extracts of relevant vendor service or job completion reports requiring remediation;
o   Assets acquired, transferred/relocated and evacuated or disposed;
o   Requisitions pending in P2P;
•   Effective supervision of maintenance of all assigned premises and assets
•   Timely retirement of any accountable imprest taken within the period.
